What every booking includes
Every event starts with a planning call, so we know who the photos are for and where they will be used.
Before the event
We review your run of show and your must-have shot list, and we talk with your event lead before the day. Tell us who your sponsors, honorees and VIPs are, and send a photo of each if you can, so we can find them in a full room.
At the event
We photograph the room before the doors open, the arrivals, the program, the awards and the crowd. We work from your timeline, so we are in place before each speaker, award and toast.
That night
Full-day coverage includes a same-evening preview of 10 edited images for social media. For shorter events, same-day social selects are $250, with 10 to 15 edited images during or right after the event. Half- and full-day bookings also get a preview of 25 to 30 edited images the next morning.
Within 72 hours
A curated, color-corrected online gallery, typically 50 to 75 images per hour of coverage, in high-resolution and web sizes. Need the full gallery sooner? 24-hour delivery is a flat $250.
A thank-you set for your development team
The week after a gala, your development team needs a handful of photos fast, for thank-you emails, sponsor recaps and the board report. Put the names on your shot list, and we pull those photos into their own folder in your gallery, named by sponsor or honoree. The set comes with your 72-hour gallery at no extra cost.
- Each sponsor with their signage, table or booth.
- Each honoree on stage and with their guests.
- Your board, hosts and executive director with major donors and VIPs.
- Volunteers and staff at work, for the notes you send them.
- Wide shots of the full room, so sponsor reports show the size of the crowd.

Common questions
How far ahead should we book?
As soon as you have a date. A 50% deposit holds it. If you want a video of the event too, tell us on the first call so we can plan both. See our event recap videos.
How fast will we get the photos?
An edited gallery arrives within 72 hours. Half- and full-day bookings also get a preview of 25 to 30 edited images the next morning, and full-day coverage adds a same-evening preview of 10 for social media. Same-day social selects can be added for $250, and the full gallery in 24 hours is a flat $250. See what it takes to get event photos and video the next morning.
How many photos will we get?
Typically 50 to 75 edited images per hour of coverage, so a 3-hour gala comes to roughly 150 to 225. Every image is color-corrected and comes in high-resolution and web sizes.
Our venue asks for a certificate of insurance. Can you send one?
Yes. We carry general liability and workers’ compensation insurance and can send a certificate on request.
Can our sponsors use the photos?
Your organization can use the photos on its own channels, including your website, social media, press and print, with no time limit. Sponsors may share photos of their own tables and signage on their own social media posts, with credit to pixelreflex MEDIA. Paid advertising is licensed separately.
Can you add a headshot station for attendees?
Yes, as an add-on to your event coverage. Attendees step up between sessions, and each one gets a link to their photos. See our headshot photography.
