A straight answer for gala planners

Planning a gala for a San Antonio nonprofit? You have probably asked what a good video costs.

Our video packages start at $4,500 for qualifying small 501(c)(3) organizations and at $6,000 for other organizations. Our Impact Story is a 60 to 90 second video, and a Spotlight runs 1 to 2 minutes. Want a video for the gala screen plus videos for social media? Our Signature Story includes a 3-minute flagship video plus 1 to 2 supporting videos for social and digital channels, starting at $15,000. Every project is custom-scoped on the discovery call.

What drives the cost

We price by the project, not the hour, so you know the full cost from the start. These choices move the number.

  • Length. A video played in the gala room usually runs 2 to 4 minutes. A longer video takes more editing.
  • Number of stories. Plan on about one minute of screen time per person. For a 2 to 3 minute video, we recommend no more than three interviewees.
  • Shoot days and locations. From a concentrated 2 to 3 hour shoot to several days and locations. Additional shoot days and travel outside the San Antonio area are quoted separately.
  • Crew. Anywhere from one director-cinematographer to four or more crew members.
  • Editing and revisions. Narrative editing, color grading, sound mixing and licensed music come with every package, plus 1 to 3 rounds of revisions. Extra rounds are quoted separately.
  • Versions and cutdowns. A screening version, shorter cuts for social media, a vertical version. We plan every version at the start. Cutting a finished horizontal video down to vertical does not always hold up.

Discovery call

Tell us your gala date, your goals, your audience and the story you need to tell.

Pre-interviews

Steffi Ockenfels, our executive producer, gets to know each interviewee, ideally a week or more before the shoot.

The shoot

Anywhere from a 2 to 3 hour shoot to several days and locations, depending on your package.

Edit and review

Delivery takes about one to three weeks after the shoot. You review the edit in a private online portal, and your notes shape the final version.

Then leave time to test the video in the room with your venue’s AV team.

Build it around one person

Gala guests remember a person, not a number. We build your video around one person whose story shows your mission at work, and save your numbers and your ask for the end.

Many people in a nonprofit story will talk about a hard time in their lives. That is why the pre-interview matters. Steffi is fully bilingual and trained in trauma-informed interviewing, and every person talks with her before shoot day.

Three galas in a row

SAMMinistries, which serves people experiencing homelessness in San Antonio, has brought us back for three galas in a row. The Journeys of Hope series for those galas has eight client stories.

No narrator speaks for the clients. They tell their own stories, which run from a minute and a half to about three minutes on our site. SAMMinistries also ran shorter cuts on its social media. See more of our nonprofit work.

pixelreflex MEDIA continues to create content that exceeded our expectation every time! It artfully captured the stories of those whose lives have been impacted by SAMMinistries into truly remarkable narratives that warms hearts and motivates engagement.

Make it work after the gala

A gala video plays once in the room. Planned well, it keeps working. Our Signature Story pairs the flagship video with 1 to 2 supporting videos for social and digital channels.

Students of Service has put its about-us video to work at its gala, in fundraising, in recruiting students and with donors. The same shoots gave it five shorter videos.

Fundraising videos keep working too. San Antonio Pets Alive! put our fundraising spots and Foster of the Year videos in its grant applications to other nonprofits, such as Petco Love. Here’s how to plan one shoot for the gala screen, social media and grant applications.

Want photos of the night itself? Our event photography starts at $350 per hour, with a 2-hour minimum and an edited gallery within 72 hours.

The work pixelreflex MEDIA has created for us throughout the years has been invaluable. Their work has resulted in over $250,000 in grants and donations for our organization, helping us save countless lives.
